Records Officer Grade II – UNGUJA

Job Title: Records Officer Grade II – UNGUJA – 1 Post

Responsibilities

  1. Managing the movement of files among different officers.
  2. Ensuring the safety and proper storage of files.
  3. Recording outgoing and incoming external correspondence in the register.
  4. Opening new files for correspondence.
  5. Supervising and ensuring cleanliness and security of the registry.
  6. Returning processed files to the appropriate shelves.
  7. Writing addresses on envelopes for postal delivery.
  8. Preparing an index of files.
  9. Archiving closed files for future reference.
  10. Preparing work performance reports including quarterly, semi-annual, and annual reports.
  11. Performing other related duties as assigned by the supervisor.

Qualifications

  1. Must be a Zanzibari aged not more than forty-six (46) years.
  2. Must hold a Bachelor’s degree in Records Management and Archives or a related field in Information/Data Management from a recognized institution by the Revolutionary Government of Zanzibar.
