A reputable organization based in Arusha, Tanzania is seeking a qualified and experienced professional to fill the position of Administration and Procurement Officer. This is a full-time role focused on procurement management, fleet administration, compliance, and operational reporting.

The successful candidate will play a key role in ensuring efficient procurement processes, effective fleet management, OSHA compliance, and timely communication with senior management teams (SMT). The position requires strong organizational skills, integrity, and the ability to work in a structured and compliance-driven environment.

Key Responsibilities

Procurement Management (35%)

The officer will be responsible for coordinating supplier negotiations, supporting tender committee activities, and serving as secretary to the procurement committee. Duties include preparing and issuing requests for proposals (RFPs), managing procurement timelines, and ensuring compliance with procurement policies and regulations.

Additional responsibilities include developing annual procurement plans, preparing procurement reports, conducting market analysis, ensuring value-for-money decisions, and identifying fraud risks for escalation.

Fleet Management and OSHA Compliance (35%)

The role involves overseeing fleet operations, ensuring compliance with traffic laws, driver safety regulations, and internal fleet policies. The officer will manage vehicle maintenance schedules, fuel usage tracking, GPS monitoring, and fleet documentation.

The candidate will also ensure OSHA compliance across business centers, coordinate safety training, supervise first aiders, and ensure valid business licenses and regulatory certifications are maintained. Strong focus will be placed on staff safety and asset protection.

Communication and Reporting (30%)

The Administration and Procurement Officer will prepare weekly procurement updates for senior management, maintain supplier databases, organize tender meetings, and document committee minutes.

The role also includes preparing monthly procurement and disposal reports, tracking requisitions, and ensuring timely communication between departments and suppliers.

Qualifications and Experience

  • Bachelor’s Degree in Procurement, Supply Chain Management, Business Administration, or related field
  • Professional certification (CIPS or equivalent) is an added advantage
  • Experience in procurement, fleet management, or administration roles preferred
  • Strong knowledge of procurement regulations and compliance procedures
  • Excellent reporting, documentation, and communication skills
  • Ability to work under pressure and meet strict deadlines
